Don´t host an event before you read this

The other day I was assisting in hosting an event. It was the first event that was hosted by my associate, and I was excited to help out.


However, there were some things I noted that I wish I could have told them before we even started the event. This is a list of three things you need to do before you host your first event.



  1. Leave time.

    Assume that everything takes longer than expected. If you think something will take 30 minutes, leave one hour. Trust me, you´ll thank me later. The bigger the group, the more time you should leave. If you somehow end up ending things early, keep an extra activity in the back of your hand. However, I doubt you will need it.



  2. Keep it close.

    It´s tempting to have many people helping you. But at some point, there will be too many cooks and you´ll lose overview. And for the hosting team, make sure to meet up before the event starts to do a briefing. Keep it simple, keep it brief and make sure you have the right person doing the right task. It will lighten your load immensely if you know you don´t have to check in on everyone constantly. Trust is key.



  3. Delegate.

    This event is your baby. That´s why you need to have an event manager that can hold the reins for you, so that you´re not running around. Preferably, your job is to speak with your guests and just hover. You should not be running backstage, sweating and stressing over where that one box is. This is the event manager´s job. Believe me when I say that your guests will enjoy it a lot more if you can spend time with them and not run around, stressing all night. This event manager will also help by overseeing the teams and making sure everyone is doing what they should be doing.
